Six to eight weeks for a night out. Three to four months for a weekend away, so people can book time off and flights.
How do we handle costs fairly?
State the total per person up front, collect in advance, and do not assume everyone can afford the same. Offering a day-only option for a weekend trip lets people join without the hotel cost.
